What ProfitSpace IQ keeps, and what it doesn't
How the app works today, for the lawyer to turn into the policy:
- The venue's business figures: costs, recipes, sales, payments, shifts, counts and events.
- Team members' names, email addresses and roles, to sign them in.
- Bookings as numbers only: party size, time and status. Guest names, phone numbers and email addresses from booking emails and exports are not kept.
- No card numbers: card digits from the till are removed before anything is stored.
- Short-link clicks without IP addresses: device type, browser, the referring site and a rough city.
- Count-sheet photos the team uploads, visible only to the venue's team.
Services that process data for us
To be written. It will cover:
- Supabase (database and sign-in) and Vercel (hosting)
- Postmark (emails and inbound booking emails)
- Anthropic (Claude, which powers IQ): it receives the venue's computed figures and, when asked, a count-sheet photo; not guest details
- Stripe (billing) and, when connected, Square or Toast (till data)
How long we keep it
To be written. It will cover:
- Business records while the account is open
- Booking emails needing review: their text is dropped after 30 days
- Deletion when an account closes, and backups

- Turning off the morning email (each person, on the Overview)
- Asking for access, correction or deletion; how to contact us
